The single biggest factor in a clean embroidery result isn't the software, it's the artwork you start with. Thread is a chunky medium, and detail that looks crisp on screen can turn to mush in stitches. Here's how to give your design the best possible start.
Vector beats raster
A vector file (SVG, EPS or PDF) describes your logo as clean mathematical shapes with crisp edges. That's exactly what a digitizer wants, because every shape can be turned directly into stitches. If you have the original logo from a designer, ask for the vector version.
A raster file (PNG, JPEG) is made of pixels. It can still be digitized, Embify traces the shapes for you, but the result depends heavily on quality.
If you only have a PNG or JPEG
- Go high resolution. Aim for at least 1000 px on the longest side. A small, blurry image traces into ragged edges.
- Prefer PNG over JPEG. PNGs have sharp edges; JPEGs add fuzzy compression artefacts around lines.
- Use a transparent or plain background. A busy photo background confuses tracing. A flat logo on white or transparent is ideal.
- Avoid screenshots. They're low resolution and often anti-aliased into soft edges.
Simplify for thread
Embroidery rewards bold and simple. Before digitizing, strip out anything thread can't reproduce well:
- Gradients and shadows become flat colour blocks in thread, reduce them to solid colours yourself so you control the result.
- Limit the colour count. Each colour is a thread change. Three to six colours keeps the sew-out tidy and fast.
- Fine background texture and tiny icons rarely survive. Remove them.
Mind the minimum sizes
Thread has physical limits. As a rough guide for a standard left-chest size:
- Lettering: at least about 5 mm (0.2 in) tall to stay legible.
- Lines: very thin hairlines may need to be thickened or they'll disappear.
- Small gaps between shapes can close up, keep some breathing room.
Embify's sew-out preview is the quickest way to catch these before you stitch, if text looks crowded or a line vanishes in the preview, scale up or simplify and re-run.
The squint test
Here's a trick borrowed from designers that predicts embroidery quality better than any technical spec: squint at your logo until it goes blurry. What survives the squint, the bold shapes, the strong contrast, the overall silhouette, is what will survive in thread. What disappears, the fine lines, the subtle shading, the little tagline, will disappear on fabric too.
The physical version works even better: print the logo at the actual finished size, usually around 90 mm wide for a left chest, and pin it to a shirt. Stand back a metre. That's roughly what people will see. If you're leaning in to read the text on paper, nobody will read it in stitches.
How to simplify a logo without wrecking it
Simplifying doesn't mean butchering. The aim is to keep what makes the logo recognisable and shed what thread can't do:
- Protect the silhouette. The outer shape is what people recognise from across a room. Keep it intact and you can be ruthless with everything inside it.
- Turn each gradient into its strongest colour. Don't average it into mush; pick the dominant end of the gradient and commit.
- Merge near-identical shades. Two blues that read as 'blue' from a metre away should be one thread colour.
- Delete effects wholesale. Drop shadows, glows, embossing and transparency exist for screens. Thread has real texture and catches real light; it doesn't need fake depth painted on.
- Grow or cut the small print. Taglines and web addresses under a logo are the most common casualty. Decide now, not after the sew-out.
If you're not comfortable editing the artwork yourself, whoever designed the logo can usually export a simplified flat version in minutes if you ask for one.
What different kinds of artwork need
Logos and badges. The ideal case. Flatten the colours, check the text size, done.
Text-only designs. Great in thread, with two rules: keep letters at least 5 mm tall, and prefer solid, slightly bold typefaces. Delicate thin serifs vanish; chunky letters turn into lovely crisp satin.
Mascots and illustrations. Usually fine if drawn with clean outlines and flat colour, think cartoon style. The more painterly the illustration, the more it needs reworking first.
Photographs. The hardest case. Thread can't do continuous tone, so a photo has to become a stylised, posterised version of itself: a handful of flat colours with bold edges. Done deliberately, photo-to-stylised embroidery can look striking. Uploaded straight, it looks like static.
Line art and sketches. Thin single lines become running stitches, which read as delicate rather than bold. Thicken key lines if you want them to carry the design.
Colours that behave in thread
A few colour habits pay off at the machine:
- Three to six colours is the sweet spot for most logos. Every colour is a thread change, and each change adds time and a potential trim.
- Contrast does the heavy lifting. Adjacent shapes in similar shades blur together at distance. If two elements matter separately, give them clearly different values.
- Think about the garment colour now. A navy logo disappears on a navy polo. Check your palette against the actual fabrics you'll stitch on, and consider a contrasting outline if the logo has to work on many garment colours.
- Trust the thread matching, then eyeball it. Your artwork colours get matched to real thread shades automatically; glance over the matches before exporting, because brand colours sometimes sit between two spools and you'll have a preference.
Prep with tools you already have
None of this needs Photoshop. For the fixes this guide keeps mentioning:
- Whitening a background or painting out noise: Preview on a Mac (Markup tools), Paint on Windows, or the free Photopea in a browser tab, which behaves like Photoshop without the subscription.
- Cropping and straightening: literally any photos app, including the one on your phone.
- Flattening colours: Photopea's paint bucket over each gradient area, or ask whoever owns the logo file to switch the fills, it's faster at the source.
- Checking pixel dimensions: right-click the file and view its info/properties. If the long side is under 1000 px, go hunting for bigger before editing anything.
The whole toolkit is free and already installed, which removes the last excuse for uploading the blurry version. Most artwork prep is fifteen unglamorous minutes, and it pays out every time the design is stitched, forever.
A worked example: fixing a real-world logo
Imagine a roofing company's logo, because every embroiderer meets one eventually: a house silhouette with a gradient sky behind it, thin lines marking the roof tiles, the company name in solid capitals, and 'Quality Since 1998' in small script underneath. It lives on the website as a 400 px JPG with a pale grey background.
Here's the ten-minute rescue, in order:
- Email the sign shop that did their van. Sign shops always have the vector. (They did. It's an EPS. Half the battle won.)
- The gradient sky becomes one solid sky blue, picked from the darker end of the gradient so it holds contrast against white caps.
- The roof-tile lines are 0.5 mm hairlines. Half get deleted, the remaining few get thickened to 1.2 mm so the roof still reads as tiled.
- 'Quality Since 1998' would be 2.5 mm tall at left-chest size. It's cut, with the client's blessing, once they see the preview of what it would have looked like.
- The result: four solid colours, bold shapes, a readable name, about 8,500 stitches. It sews cleanly on the first test.
Nothing in that list needed design school; it needed knowing what thread can't do, which you now know. The preview settled the one argument (the tagline) in seconds, which is the pattern worth remembering: when a client resists a simplification, show them the preview of both versions and let the stitches make the case.

Frequently asked questions
Can I embroider a photograph?
Realistic photos are very difficult to embroider, thread can't reproduce continuous tone or fine gradients. A stylised, posterised version with a handful of flat colours works far better.
What resolution should my image be?
For a raster logo, aim for at least 1000 px on the longest side, with sharp edges and a clean background. Higher is better; blurry or small images trace poorly.
Is SVG or PNG better for digitizing?
SVG (vector) is better because it has perfectly clean, scalable edges. A high-resolution PNG is a fine fallback if you don't have the vector original.
Can I use a screenshot of my logo?
As a last resort only. Screenshots are low resolution with softened edges, and they often carry a sliver of background. Track down the original file first; even the version attached to an old email will beat a screenshot.
How many colours is too many?
There's no hard limit, but past six or so you're adding thread changes without adding much that survives at stitching size. If your logo has more, merge the near-duplicates and keep the contrast.
Does my artwork need to be at the final size?
No. Resolution matters for tracing, but the finished size is set when you digitize. What matters is checking the preview at that real size, so text and detail are judged at the dimensions they'll actually stitch.
Will Embify fix bad artwork automatically?
It removes backgrounds, traces cleanly, and flags text that's too small to stitch. What it can't do is invent detail that isn't there or make a blurry image sharp. The better the artwork going in, the better the stitches coming out.
Does DPI matter for embroidery digitizing?
Not directly; DPI only matters for print. What matters is total pixels: 1000 px or more on the longest side. A '300 DPI' image can still be tiny in pixels, so check the pixel dimensions, not the DPI label.
How should artwork change for dark garments?
Check every colour against the actual garment shade, not against white. Dark elements vanish on dark fabric; a light outline or a lighter version of the logo often works better. Most brands keep a reversed version for exactly this reason, so ask for it.
Is there any image that simply can't be embroidered?
Very few, but some shouldn't be embroidered as they are. Anything can be simplified into a stitchable version; the honest question is whether the simplified version still says what the original said. The preview lets you and the client answer that with evidence instead of arguments.
Should I prep differently for patches versus garments?
Patches are more forgiving: the twill backing is stable, so slightly finer detail survives than on a stretchy polo. The artwork rules stay the same, though, and bold still beats busy on a patch the size of a coin. Test one before running the batch.
