How to digitize a logo for embroidery

Embroidery machines can't read a JPEG or a PNG. Before a logo can be stitched, it has to be turned into a set of instructions that tells the needle exactly where to go, in what order, with which thread, and how densely to fill each shape. That process is called digitizing. This guide explains what's really happening, and shows the fastest way to get a usable file.

What “digitizing” actually means

A finished embroidery file is not a picture. It's a sequence of stitch commands: move here, drop a stitch, change colour, trim the thread, repeat. Digitizing is the act of translating your flat artwork into that sequence. Good digitizing decides four things for every shape in your logo:

Underneath all of that sits an underlay, a light layer of stitches laid down first to stabilise the fabric and stop the top stitches sinking in.

Manual vs auto-digitizing

Traditionally a digitizer does this by hand in specialist digitizing software, shape by shape. It produces excellent results but takes skill and time, and professional digitizing typically costs £10 to £30 per logo with a turnaround of a day or more.

Step by step with Embify

  1. Upload your artwork. A vector file (SVG, EPS or PDF) gives the cleanest result. A high-resolution PNG also works, Embify will trace it.
  2. Set the finished size. Embroidery is size-specific: a design digitized for a 90 mm left chest will not look right scaled to a 280 mm back. Enter the real size you'll stitch.

Reading the preview like a digitizer

When the sew-out preview appears, you're looking at the same things a professional checks on a test sew. Give it ten seconds on each: Are the satin borders smooth and even in width? Does the fill cover without the background peeking through? Is the smallest text still readable? Do outlines sit on their shapes rather than drifting off them?

If all four look right, the file will almost certainly sew right. If one looks wrong, fix the artwork or the size and convert again rather than hoping the fabric will be kinder than the screen. It won't be.

The vocabulary, in plain English

Digitizing has its own jargon, and most guides assume you already speak it. Here's the short version, enough to follow any conversation about your file:

Fill stitch (or tatami)Rows of shorter stitches that cover larger areas, like the body of a shield or a solid circle.

UnderlayA hidden foundation layer sewn first, so the visible stitches sit on top of the fabric instead of sinking into it.
DensityHow tightly packed the stitches are. Too loose and fabric shows through, too tight and the patch goes stiff and puckers.
Pull compensationShapes are drawn slightly wider than final, because stitches pull fabric inwards as they sew. Without it, circles come out as ovals.
JumpThe machine moving between shapes without stitching. Each jump leaves a thread that usually needs trimming.
TrimA commanded thread cut. Fewer trims means a cleaner back and a faster sew.
Stabiliser (or backing)The material hooped behind the fabric to hold it steady while the needle works.
Stitch countThe total number of stitches in the design. Drives sew time and, at commercial embroiderers, usually the price.

A worked example: one logo, start to finish

Say your logo is a two-colour crest: a navy shield with a white letter on it, and the company name underneath. Here's what digitizing turns that into.

The shield body becomes a fill stitch, thousands of short stitches in neat rows, with a light underlay grid beneath so the navy sits proud of the fabric. The shield's border becomes a satin column, maybe 2 mm wide, running the whole outline in one continuous path. The white letter becomes satin too, sewn after the fill so it sits on top. The company name is more satin lettering, sewn last.

The order matters. Fills go down before borders so the border covers the fill's edge. Lettering goes last so nothing sews over it. A good file also plans the route between shapes so the machine barely has to jump, which means fewer trims and a cleaner back.

Mistakes almost every first-timer makes

These five account for most disappointing first attempts:

  1. Digitizing at the wrong size. A file made at 90 mm and stitched at 200 mm has thin, gappy coverage. Density doesn't scale. Decide the finished size first, then digitize at exactly that size.
  2. Keeping every colour in the original. Each colour is a thread change. A twelve-colour gradient logo is a long, fiddly sew and rarely looks better than a five-colour version of the same design.
  3. Trusting the artwork instead of the preview. Your screen shows pixels. The machine sews thread. Judge the sew-out preview, not the PNG.
  4. Keeping tiny text. The web address under your logo will not survive at 3 mm tall. Cut it or grow it.
  5. Skipping the test sew. Even a good file deserves two minutes on scrap fabric before it touches a batch of fifty polos.

Does the fabric change the file?

Yes, more than most beginners expect. A stable woven like denim is forgiving. A stretchy polo knit pulls stitches inwards and needs more compensation and firmer underlay. Fleece swallows thin stitching, so designs need to sit higher and bolder. Caps are their own world, curved and seamed.

Small things, yes. Thread colours are chosen at the machine, and minor resizes of a few percent are usually fine. For a different size or a reworked design, re-digitize. It takes seconds, so there's no reason to stretch an old file.
